Description:

Summarize all utility bills (DEWA/Etisalat/Du) of the company and submit to Asst. Manager – Admin & Facilities for review.
o Act as the first point of contact to receive all complaints/issues from departments/facilities and ensure that they are addressed in a time effective manner
o Schedule preventative maintenance for all buildings & facilities related equipment and respond to urgent maintenance calls.
o Liaising with third-party contractors/ suppliers and monitor performance against Key Performance Indicators (KPIs) and approved Scope of Work.
o In conjunction with the Manager – Admin & Facilities, ensure that all routine schedules are planned and that any remedial work(s) is undertaken quickly and effectively
o Maintain a schedule and ensure completion of the various roadworthiness/maintenance/repair needs of all company vehicles.
o Responsible for the contacting, monitoring and inspection of work of minor nature through civil contractors/other repair agencies.
o Control all company vehicle movements including daily trips based on Shop floor timings.
o Carry Facility walkthrough on daily basis and making necessary reports.
o Act as Pantry in Charge and arrange necessary consumables and organize for the upkeep of all infrastructures.
o Organize & store all non-confidential Admin & Facilities related documents.
o Responsible for provisioning office consumables like Xerox paper, Stationaries, and Letterhead etc..
o Ensure that the job cards entries for Admin Staff are made in the portal by the cut off date.
o Provide Front Office Reception support on required basis.
o Carry out ad-hoc administrative duties as endorsed by the Line Manager.
o Organize the department, section or workplace so that any operation or work carried out is to a satisfactory standard of safety, with minimum risk to persons, materials, and equipment.
o Implementation of Health and Safety management system.
o Participates to HIARA and for new activities/task
o Takes part in all accident/incident investigation.
o Allocate enough time for Toolbox meetings and HSE training.
o Co-operate in the investigation of accidents with the objective of introducing methods to prevent re-occurrence.
o Report all the unsafe conditions, Near misses, Incidents etc. immediately to HSE department and ensure adequate control measures are taken to rectify the issues.
